How do I see an overview of my Apps and software spend?

Use the Apps Overview, App dashboards and App reports to see spend, usage, renewals, savings and how your Apps are classified.

Apps > Overview gives you a dashboard of everything about your software in one place. Most sections have a View all link to the full list.

Usage and savings

These sections are available on the Advanced and Advanced Managed plans.

  • Potential Yearly Savings: how much you could save by removing inactive and spare licenses, based on the last 90 days. See How do I find unused licenses and save money?
  • Highest Usage and Lowest Usage: the Apps people use most and least, based on activity in the last 90 days. Low-usage Apps are worth reviewing at renewal.

Spend and renewals

  • Upcoming Renewals: Licenses with a contract ending soon, so you can decide in time whether to renew. See also Apps > Renewal Timeline.
  • Total App Spend: your software spend each month over the last 12 months.
  • Highest App Spend: the Apps you spent the most on over the last 12 months.

Your App register

  • App Statuses: how many Apps are Discovered, Onboarding, in the Register, Unapproved or Ignored.
  • App Detections by Source: how your Apps were found, for example through Google Workspace, Microsoft or Okta sign-ins.
  • App Owners: how many Apps have a Business Owner, and how many don't. Renewal reminders go to an App's Business Owner and Technical Owner, so an App without owners won't remind anyone before it renews.

Risk and classification

  • App Criticality: how many Apps are Critical, High, Medium, Low or None.
  • Tier Breakdown: how many Apps are in each Tier, from Tier 1 to Tier 4.
  • Authentication Methods Breakdown and Top Authentication Methods: how people sign in to your Apps, for example Single Factor (email and password), Two-Factor or Company IAM. You can view the breakdown by Tier or by Criticality, to check that your most important Apps are the best protected.

To set these on an App, open the App and go to its Overview tab. In Details, click the pencil icon and choose its Authentication Method, Tier and Criticality. If the authentication method you use isn't listed, click + Add Authentication Method.

Dashboard for a single App

Each App's Overview tab has its own dashboard:

  • Potential Yearly Savings for that App's Licenses (Advanced and Advanced Managed)
  • Most Active Users and Least Active Users, based on the last 90 days (Advanced and Advanced Managed)
  • Monthly Active Users over the last 24 months (Advanced and Advanced Managed)
  • Upcoming Renewals for that App's Licenses

App reports

The same spend, status, source, owner and classification information is also under Insights > Reports > Apps, alongside reports for Departments, Locations, Groups, Teams and Legal Entities.
