What are HR integrations in Setyl?

HR integrations connect Setyl with your company’s HR platform to automatically keep employee information up to date. HR integrations can also allow you to trigger onboarding and offboarding workflows within Setyl.

What HR integrations do

When connected, an HR integration syncs people data from your HR system into Setyl. The specific fields that are imported will depend on the integration itself.  For more information on which fields are imported for each integration, and for detailed setup guides, please refer to the relevant integration guide here.

Common examples of synced data include:

  • Employee details – name, email, department, job title, and manager

  • Join date – used to trigger onboarding workflows in Setyl

  • Leave date – used to trigger offboarding workflows in Setyl

These synced details ensure Setyl always reflects your organization’s most current people data.

How to connect an HR integration

To connect an HR integration in Setyl:

  1. Navigate to Settings > Integrations.

  2. Locate your HR system under HR Systems.

  3. Select the Connect button beside the integration.

  4. Follow the on-screen prompts to authenticate and authorize Setyl’s access to your HR system.

  5. Once connected, the integration will begin syncing your people data automatically.  You can also trigger a manual sync at any time if needed.

How to select which fields to import and set integration priority

If you have multiple HR integrations connected, you can control which one provides data for each field using the Data Mapping section in Company Settings.

To configure import fields and priorities:

  1. Go to Settings > Company Settings > Data Mapping

  2. Under People Data Mapping, choose which integration should act as the primary source by selecting it under Select integration priority.

  3. Under Select optional fields to import, choose where each data field should be imported from, or select Don’t Import if you wish to exclude it.

  4. Click Save to confirm your configuration.

Note: Join and Leave Dates determine when onboarding and offboarding workflows are triggered.

 


How to configure default statuses for imported people

Setyl automatically assigns a status (such as Active, Onboarding, Offboarding, or Archived) to each person based on their join and leave dates, or based on data received from connected integrations.

To configure default statuses:

  1. Go to Settings > Company Settings > General.

  2. Scroll down to the Default Statuses for People section.

  3. Review each rule that determines how people are categorized when imported or updated.
    Examples include:

    • People with a Leave Date more than 1 year agoArchived

    • People with a Leave Date less than 1 year agoOffboarding

    • People with a Join Date in the futureOnboarding

    • People with a Join Date in the past and no Leave DateActive

  4. Use the dropdown menus to adjust the status behavior for each condition as needed.

  5. Click Save when done.

Tip: These rules apply to both manually added people and those synced from integrations. Adjusting them ensures your onboarding and offboarding workflows trigger correctly based on your company’s HR data.
