Bulk Upload lets you add or update many records at once from a spreadsheet, instead of creating them one by one. It's the quickest way to bring in data from another spreadsheet, HR system, finance package or asset tool. **What you can bulk upload** Assets, People, Departments, Locations, Groups, Teams, Sublocations, Legal Entities and Leased Assets. Apps can't be bulk uploaded. To add license holders in bulk, see [How do I upload a list of license holders?](https://help.setyl.com/how-do-i-upload-a-list-of-license-holders?hsLang=en) **Bulk upload new records** 1. Click the **+** button at the top right, then **Bulk Upload / Update**. 2. Choose what you want to upload, for example **Assets**. 3. Optionally, download the template (for example **assets\_template.xlsx**) to see which columns Setyl expects. 4. Either drag and drop your file (Excel or CSV) into the upload box, or click **Or click here to copy paste table data** and paste your rows. 5. Match your column headers to the fields in Setyl, then follow the on-screen steps to finish. When the file has been processed, you'll receive an upload report. **Tips for a successful upload** - **Required fields for Assets:** every row needs a **Model**, **Asset Type** and **Status**. - **Use Setyl's names:** values such as Asset Type, Status, Location and Department must match the names used in Setyl exactly. Setyl flags any that don't match before importing. - **Dates:** use one of these formats: YYYY-MM-DD (recommended), YYYY/MM/DD, YYYYMMDD, YYYY.MM.DD, DD-MM-YYYY, DD/MM/YYYY or DD.MM.YYYY. US-style dates (MM/DD/YYYY) aren't supported. If Excel shows your dates that way, change the column's format before you upload. - **Test first:** upload a few rows, check the results, then upload the rest. - **Archived records:** you can't reinstate archived records by bulk upload. Reinstate them from **Settings \> Archived Records**, or for a large number, email [hello@setyl.com](mailto:hello@setyl.com) with a list of serial numbers. **Bulk update existing records** 1. Export the records you want to change. See [How do I export my data within Setyl?](https://help.setyl.com/how-do-i-export-my-data-within-setyl?hsLang=en) 2. Edit the exported file. Keep the **URL** column as it is, because it's the most reliable way for Setyl to recognize each record. 3. Upload the edited file using the steps above. **Will bulk uploading create duplicates?** Setyl checks each row against your existing Assets and updates a match instead of creating a duplicate. It looks for a match in this order: 1. **URL:** the unique link included in every Setyl export. 2. **Asset ID:** unique within your account. 3. **Serial number:** used when exactly one existing Asset has that serial number. If a row doesn't match an existing Asset, Setyl creates a new one. **What happens in edge cases** - **Two or more existing Assets share the row's serial number:** the row is skipped and nothing is created or changed. The upload report says: "Multiple assets found with this serial number, please use URL or Asset ID to identify the correct asset." Add the URL or Asset ID to the row and upload it again. - **A new serial number appears on several rows of your file:** the first row creates the Asset, and the later rows update it. - **The URL matches one Asset, but the Asset ID belongs to a different Asset:** the row fails with "Asset ID has already been taken" and nothing changes. - **The URL or Asset ID matches one Asset, but the serial number belongs to a different Asset:** the matched Asset is updated and takes that serial number. Check your serials before uploading so you don't move one onto the wrong Asset. **Bulk upload or "Add Multiple of One Asset"?** Use **Add Multiple of One Asset** to create several copies of the same Asset, for example 20 identical laptops.
