How do I archive records in Setyl?

Archiving removes a record from your active lists. Its history is kept for reporting and audits. You can archive assets, people, licenses and more, but you can't delete records in Setyl (why?).

Archive an asset

  1. Open the asset's profile.

  2. Click the ⋮ menu, then Archive.

  3. Select a Reason for Archive. You can also add notes and supporting documents.

  4. Click Archive to confirm.

Archive a person

  1. Open the person's profile.

  2. Click the ⋮ menu, then Archive.

  3. Click Archive to confirm.

Any assets, licenses and other records linked to that person will be unassigned from them.

Archive a location, sublocation, department, legal entity, team or group

  1. Go to Organization, then the list you need: Locations, Sublocations, Departments, Legal Entities, Teams or Groups.

  2. Click the ⋮ menu next to the record, then Archive.

  3. Click Archive to confirm.

Before you archive one of these, move any assets, people or licenses linked to it. Otherwise those records will be left unlinked.

Archive several assets or people at once

  1. Go to Assets > All Assets or People > All People.

  2. Tick the records you want to archive. Use filters first to narrow the list, for example by status or location.

  3. Click the Archive button that appears at the top of the list.

  4. For Assets, choose a Reason for Archive, such as disposed or sold. It's applied to every Asset you selected.

  5. Follow the steps to confirm.

To keep disposal or recycling certificates with your records, attach them to each Asset's Documents before or after archiving.

Archive a license

  1. Open the app that contains the license.

  2. Find the license in the app's list of licenses.

  3. Click the ⋮ menu next to it, then Archive.

  4. Click Archive to confirm.

What about apps?

You can't archive apps. That's because your integrations can find the same app again later. Instead, you ignore an app you no longer want to track. Ignored apps move to the Ignored tab under Apps > All Apps. If the app is detected again, Setyl knows it has been ignored and won't add it back as a new app. See How do I ignore, restore or merge Apps?

When you move an app to Ignored, all licenses in that app are archived automatically.

Where do archived records go?

You'll find them under Settings > Archived Records, where you can also reinstate them. Learn more

There's no bulk reinstate. To reinstate a large number of Assets, email hello@setyl.com with a list of their serial numbers.
