What are the different Roles in Setyl?

Every Person in Setyl has a Role. Their Role controls how much of Setyl they can see and do. Setyl has five Roles.

Owner

Owners have full access to Setyl and control billing and general account management. The Owner is usually the person who oversees your organization's IT. Owner permissions can't be changed, so there is always someone with access to every part of Setyl.

Manager and Supervisor

Manager and Supervisor are both admin Roles. They're effectively interchangeable: each has its own set of permissions, and you decide what each one can see and do. Having two admin Roles means you can give two groups of people different levels of access.

They're typically used for people such as:

  • Office administrators
  • Regional or site staff
  • Finance staff
  • IT support staff

Restricting Administrators to specific locations

You can also restrict individual Managers and Supervisors to specific Locations, Departments or Legal Entities. For example, a regional office administrator can be limited to the Assets, People and Apps at their own site.

To restrict an Administrator:

  1. Go to Settings > Company Settings > User Restrictions
  2. Click "Edit" for the Person you want to restrict
  3. Under Restrictions > Restricted Records, select the Departments, Locations and Legal Entities they should have access to
  4. Click "Save"

Employee

The Employee Role gives access to a dedicated Employee dashboard, where Employees can see the Assets and Apps assigned to them and complete any Surveys they've been asked to do. They can also fully manage any App where they're the Business Owner or Technical Owner. If you want Employees to create and edit their own Assets, turn this on under Settings > Company Settings > User Permissions > Configure the level of Employee Access. Employees don't get access to the admin areas of Setyl. Most people in your organization will usually be Employees.

Limited Access

People with Limited Access can log in to Setyl, but can only see the Surveys they've been asked to complete, in a tab called My Tasks. Limited Access permissions can't be changed.

Who are Administrators?

Owners, Managers and Supervisors are known as Administrators.

Changing what each Role can do

The Manager and Supervisor Roles each have a set of permissions that applies to everyone with that Role. By default, Owners and Managers can change these permissions in Settings > Company Settings > User Permissions. See How do I change the user permissions for a Role? for step-by-step instructions.

The Owner and Limited Access Roles have fixed access that can't be customized. Employee access is fixed apart from the option to let Employees create and edit their own Assets.

Can I set up a read-only admin?

Yes. Use Manager or Supervisor for it. In Settings > Company Settings > User Permissions, leave that Role's View permissions on, and turn off its Edit/Amend and Create/Add permissions. Everyone with that Role can then see everything but can't change anything.

Why can't an admin open Integrations or Company Settings?

That's controlled by the Company: Settings and payments permission. Turn on its View permission to let a Role see these settings, and its Edit permission to let them change them. Two people with the same Role can still see different things if one of them has User Restrictions (see above).

Be careful when changing your own Role

If you change your own Role, including during a bulk edit of People, you may lose access to change it back. Make sure there's always at least one other Owner. If you're locked out, or your only Owner has left, email hello@setyl.com.

Default Role for new People

New People are given the Employee Role by default. To change this:

  1. Go to Settings > Company Settings
  2. Select the General tab
  3. Under "Default role for new people", select the Role new People should be given
  4. Click Save

Examples of how to assign Roles

Office-based business

  • Owner: the person who manages your Setyl account, such as the head of IT or operations
  • Manager: office administrators who manage Assets and send Surveys
  • Supervisor: finance staff who need access to costs and invoices
  • Employee: everyone else

Business with regional sites

  • Owner: the person who manages your Setyl account
  • Manager: central IT and office administrators
  • Supervisor: regional or site staff, restricted to the Assets at their location
  • Employee: everyone else
  • Limited Access: freelancers

School

  • Owner: the person who manages your Setyl account
  • Manager: IT support staff
  • Supervisor: the school business manager or finance staff
  • Employee: teachers and other staff
  • Limited Access: students (optional)

Why can't I access part of Setyl?

If you can't see or use part of Setyl, your Role doesn't have permission for it. Speak to an Owner, Manager or Supervisor in your organization, such as your IT team or office administrator. They can change your Role or its permissions.
